This FAQ covers registration for all GVMA events, grouped by event type. Use the Table of Contents below to jump to the section you need.
General Registration (All Event Types)
- How do I register for an event?
Go to members.gvma.net/events/browse and find your event. Click Register, sign into the GVMA Portal (or continue as a guest if you're not a member), select your registration type and any add-ons, and complete payment. You'll receive a confirmation email with your receipt. Members are automatically shown member pricing once signed in.
- Do I have to be a member to register?
No. GVMA events are open to both members and non-members. Members receive discounted pricing and, depending on the event, may have access to sessions or perks that aren't available to non-members.
- What payment methods are accepted?
Credit card (Visa, Mastercard, American Express, Discover) at checkout, public payment link from an emailed invoice (no login required), or invoice/check by contacting gvma@gvma.net before registering.
- I didn't get a confirmation email. What do I do?
Check your spam, junk, and promotions folders. Then sign into the GVMA Portal and go to My Registrations to confirm your registration is on file. If it's still missing, email gvma@gvma.net with your name and the event name and we'll resend it.
- Where do I find my registration details, receipts, and event links?
Sign into the GVMA Portal and click My Registrations on your dashboard. Select the event to see registration details, receipts, and any join links.
- Can I modify or cancel my registration?
Yes. Sign into the GVMA Portal, find the event under My Registrations, and select Modify Registration. To cancel, email gvma@gvma.net with your name, the event name, and your confirmation number. See our Refund Policy article for full cancellation and refund terms.
- Can I substitute another person for my registration?
Yes. Email gvma@gvma.net with your name, plus the name and email of the person taking your place. We'll transfer the registration so the new attendee receives all event communications and gets CE credit correctly.
In-Person Events
- What should I expect at check-in?
Visit the registration desk before heading to sessions to pick up your badge. You'll receive your name badge, agenda, and anything else you'll need.
- Do I need to bring anything?
Nope! Bring a notepad, pen/paper, or anything that helps you take notes. Remember to bring any materials indicated in your confirmation email (workbooks, pre-reads, etc.), and — for hands-on labs — any PPE or equipment listed in the pre-event email.
- What if I'm running late?
For most in-person CE events, late arrivals may not receive full CE credit due to State Board attendance requirements. If you know you'll be late, email gvma@gvma.net in advance.
- Is parking included? Are meals provided?
Parking, meals, and any other on-site details are specific to each event's venue. Check your confirmation email and the event page for details.
Zoom Webinars (Including LEAP CE)
- How do I join a GVMA webinar?
When you register for a GVMA webinar, Zoom will send you a custom join link by email. This link is unique to you. Do not share or forward your link — it's tied to your registration and is what we use to verify your attendance for CE credit. You must join using your personal link to ensure your attendance is recorded.
- When will I receive my Zoom link and reminders?
Registrants receive 3 reminder emails from Zoom prior to the webinar: one week before the start, one day before the start, and one hour before the start. Each reminder contains your unique join link. Please check your Spam or Junk folders if you don't see them in your inbox.
- I haven't received my Zoom link. What do I do?
If you have not received your Zoom link, you must contact our office at least 24 hours prior to the start of the event. Example: If the webinar starts at 7:00 PM on Wednesday, the deadline to contact us is 7:00 PM on Tuesday. Email gvma@gvma.net or call (678) 309-9800 with your name and the webinar title, and we'll resend your link.
- Before the webinar — quick technical prep
Download the latest version of Zoom at zoom.us/download, test your audio and video at zoom.us/test, and sign into Zoom using the same email address that's on your GVMA account (critical for CE credit).
LEAP CE: Attendance & Access Requirements
LEAP CE has stricter attendance requirements than other GVMA webinars because these sessions satisfy Georgia State Board CE requirements. Please read this section carefully.
- To receive LEAP CE credit, you must:
- Join the webinar using the custom link emailed to you (unique to your registration
- remain present for the full duration of the live session (partial attendance cannot be credited),
- and participate in any interactive components — including polls, chat discussions, and any other engagement activities during the session.
- How attendance is verified
Attendance for LEAP CE is verified through Zoom participation and engagement tracking, not by an honor system. Your join time, duration, and interactive participation are all recorded automatically through your unique link.
- Dial-in attendance does not count
Dial-in (phone-only) attendance cannot be credited toward LEAP requirements. You must join through the Zoom app or web browser so that your engagement can be tracked.
- Why we can't make exceptions
LEAP CE is subject to State Board reporting requirements. If your attendance can't be verified through Zoom's tracking, we're unable to issue credit — even after the fact. This is why the unique join link and full-session attendance matter so much.
- "I logged in but my attendance didn't count."
This usually happens when someone joined using a shared link, joined by phone, or signed into Zoom under a different email than their GVMA account. Contact gvma@gvma.net with the details and we'll investigate.
- "I got kicked out mid-session."
Rejoin using your original link immediately. Total attendance time is tracked cumulatively, so a brief disconnect typically doesn't disqualify you — but you must rejoin the live session.
- "Can I watch the recording for credit?"
No. LEAP CE requires live attendance per State Board requirements.
VetSouth Fall Conference
- How is VetSouth registration different from a regular event?
VetSouth is our multi-day annual conference, so registration includes more options than a typical single-session event: registration type (full conference vs. single day, in-person vs. virtual if offered), session selections, ticketed functions (meals, receptions, evening events), and optional add-ons.
- When does VetSouth registration open?
Registration typically opens in July or early August. Registration first opens to GVMA Premier Members, then to all general registrations.
- What's included in my registration?
- Attendance to classes on your registered days
- Exhibit hall access
- Breakfast & lunch buffet each day of attendance
- Full access to all digital conference proceedings
- GVMA tote bag
- Attendee badge with quick contact swapping QR code
- Are there early bird or member discounts?
Yes. VetSouth uses tiered pricing with early bird, standard, and late registration deadlines. Premier members always pay the lowest prices, even when rates increase. All GVMA members enjoy discounted VetSouth registration.
- How do I register my whole practice for VetSouth?
Practice managers or owners can use Group Registrationto register the entire team from a single login.- Sign into the GVMA Portal, navigate to the VetSouth event page, and select Registration > Group Registration.
- Click Start a Group Registration (or open your existing group), confirm your group name (defaults to your practice name), and click Register New Attendee to add each team member.
- When your list is complete, click Complete Group Registration to process all pending registrations at once and complete payment for the full group.
- The Group Administrator receives a master confirmation; each attendee receives their own individual confirmation.
- Can I add sessions or ticketed events after I register?
Yes. Sign into the GVMA Portal, find VetSouth under My Registrations, and select Modify Registration to add sessions, ticketed functions, or add-ons.
- What if the conference (or a specific session) is full?
Some VetSouth sessions have capacity limits and offer a waitlist. When a session is full, you'll see a Join Waitlist option instead of the regular selection if a waitlist is available. If a spot opens, the system automatically notifies waitlisted attendees on a first-come, first-served basis.
- How is CE handled at VetSouth?
- Before the event: We'll pre-print a personalized name badge for every registrant, so there's nothing you need to bring or print yourself.
- When you arrive: Stop by the GVMA badge check-in desk, staffed by our team members or designated volunteers. Give us your name and we'll hand you your badge.
- How attendance is recorded: Picking up your badge is your check-in. If a badge isn't collected, that registrant is not marked as attended.
- How CE certificates are issued: After the event, we review the final checked-in attendee list. CE certificates are generated and sent only to registrants confirmed as "checked-in" on-site. If you did not check in at the event, a CE certificate cannot be issued, even if you were registered.
- Refund policy for VetSouth
Because VetSouth involves venue commitments and materials ordering, its refund policy differs from single-event refunds. See the Refund Policy article for full details.
