Event Refunds

  • What is the refund policy for VetSouth and ECVC Conferences?

    An 80% refund will be issued if the cancellation request is received by the event's assigned cut-off date. No refunds will be given after the cut-off date. The specific cut-off date is listed on each conference's event page and registration confirmation.


  • What is the refund policy for CE Intensive events?

    Cancellations received more than one week prior to the event receive a 100% refund for GVMA members and an 80% refund for non-members. No refunds are given within one week of the event. If hotel guarantees have not yet been submitted, a refund within the one-week window may be approved on a case-by-case basis by the Director of Operations or Executive Director.


  • What is the refund policy for webinars?

    Webinar refunds are reviewed case-by-case and require approval from the Director of Operations or Executive Director. If you miss a live webinar, we can typically apply your payment toward a future webinar in lieu of a refund — just contact us to arrange it.



Product Refunds


  • Can I get a refund for membership, digital handbooks, DVDs, CVA materials, or other products?

    Refunds for these products and services are reviewed case-by-case and require approval from the Director of Operations or Executive Director. Contact us with your request and we'll review it promptly.



How to Request a Refund


  • How long does it take to process a refund?

    Approved refunds are typically processed within 5–7 business days and refunded to your original payment method. Receipt of funds will depend on the registrant's banking institution.


  • Can I transfer my registration or apply my payment to a future event instead of getting a refund?

    Yes, in many cases. Substitutions (transferring your registration to another person) are available for most events. For webinars, we can often apply your payment to a future session. Email gvma@gvma.net with your request and we'll walk you through the options.



Disputes & Reconsideration

  • What if I disagree with a refund decision or want my request reconsidered?

    If you'd like to dispute a refund decision or request reconsideration, your request can be referred to the Executive Director or Director of Operations for review. Email gvma@gvma.net and note that you'd like your request escalated for reconsideration.
